Renovation Inquiry Checklist

What to settle before you ask a contractor or print shop for a price

Write the Inquiry Before You Call

A vague inquiry gets a vague price. Whether the job is a kitchen refit or a run of printed signs for a building, the vendor needs the same basics: what, how many, on what surface or in what space, and by when.

Years of vendor coordination taught us that the clearest inquiries get the most comparable quotes. The form on this page is a worksheet: it doesn't forward your answers to any vendor, so copy them into your own email.

  • Scope: Describe the job in a sentence a stranger would understand
  • Standards: Name any colour, material or spec that must be matched
  • Contact: Say who approves proofs and changes
  • Proof: Ask for samples of similar past work

What a Good Vendor Does Next

Once you send a clear inquiry, a well-run shop or contractor usually follows the same three steps

Initial Contact

They reply to confirm your requirements and timeline. A slow first reply is worth noting.

Detailed Assessment

They ask about scope, quality standards and how the finished piece will be used before they price it.

Follow-Through

They send a proof or plan for approval and keep you posted until the job is delivered.

Why a Written Inquiry Beats a Phone Call

As property management professionals managing multiple properties and vendor relationships, we've learned that successful projects require more than just connecting you with a service provider. We actively evaluate manufacturers and graphic art specialists to ensure they meet our rigorous standards for quality, reliability, and professional communication.

A written inquiry gives every vendor the same facts, so quotes can be compared line by line. It also leaves a record if the finished work doesn't match what was asked for.

For printed work, add the artwork file format and the surface. Screens for a plastic bottle and for a sheet-metal sign are made differently, and a printer can only quote accurately once they know which one you need.
